AI on the first line: no lead left without a reply, even at 3 a.m
Buyers from other time zones write when your team is asleep. An AI assistant answers them in WhatsApp, Telegram and on the site, asks your qualifying questions and hands a ready lead to the CRM. wote.sales then checks every deal, chat and call. We start with a pilot on one process and measure what changed
What can be handed to AI in sales?
Any operation people repeat every day: reading, checking, copying from one window to another, reminding, retelling. We started with sales because we run the ads and see where money is lost after the lead arrives. Each line below answers a question an owner asks: why the lead waited until morning, what the manager told the client, why the report takes two days
| Area | What AI or automation does | What stays with a person |
|---|---|---|
| Incoming leads | Replies in the messenger and on the site at any hour, asks the qualifying questions, creates the deal in the CRM | The call, viewing or consultation, the deal |
| Quality control | Reads chats, scores calls against a checklist, builds the list of red deals | The review with the manager, the head of sales decision |
| CRM | Sets tasks and reminders, catches deals with no next step | The contact with the client |
| Offers and documents | Fills an offer, invoice or contract template from the deal data | Checking the price and terms |
| Reports | Funnel and manager summary by morning, answers to questions asked in plain text | Conclusions and decisions |
AI on the first line: qualification at night and on weekends
A buyer in Europe fills in a form for a Phuket villa at 11 p.m. Bangkok time. A patient in the US writes to a clinic in Mexico on Sunday. If the first reply comes the next working morning, the buyer has already written to two competitors. Speed matters here: in a Harvard Business Review study (2011) companies that replied to an online lead within an hour were nearly 7 times more likely to have a qualifying conversation than those that replied later
Replies the moment the lead writes
The assistant answers in WhatsApp, Telegram and website chat right away, in English or Russian, and keeps the conversation going until it has the answers
Asks your qualifying questions
Budget, timing, purpose, preferred way to talk. For property: area, type, investment or living. For a clinic: treatment, dates of travel. The questions come from your sales script, not from a template
Hands a ready lead to the CRM
A qualified lead goes into the CRM with the answers and the ad source. The manager gets a notification and calls already knowing the budget and the request
Knows where to stop
We write the scenario and its limits with you: the assistant does not promise prices, discounts or availability that are not in your price list, and hands the conversation to a person when the buyer asks for one
AI does not replace the sales team. If there is no team yet, or it cannot carry the load, we start with roles, hiring and rules: see building a sales team
Control of every chat and call
A manual sample shows a few conversations a week. To check every deal we connect wote.sales, our quality control product, to your CRM. According to the product page it already keeps 57,000+ deals under continuous review and has scored 38,200 calls with AI
- Every 15 minutes each deal is checked against the same rule list: first-response speed, stalled stages, missing next step, empty qualification fields, rejections without a reason
- Call recordings are transcribed and scored across six selling stages; chats in WhatsApp, Telegram and Instagram are read for tone and objection handling against your scenario
- By 08:30 the head of sales has the red deals with the money at risk in Telegram, urgent alerts arrive during the day, and on Friday a breakdown per manager
- A meeting recording becomes a written protocol with agreements and the next step in the deal card
When AI sees that leads from a channel arrive without a budget or "just asking", it is a signal for the ads the same week. That link between sales and advertising is the reason a performance agency does this work
CRM tasks, documents and reports
Automatic tasks
The rule our own sales team follows: every deal has an active task, no task is overdue. Automation sets the first-contact task when a deal appears, reminds about the next step and raises deals nobody has touched
Offers from a template
Name, property or treatment, terms and price go from the deal card into an offer, invoice or contract template. You approve the template and wording; a person checks the figures and sends
Morning summary
Funnel, managers and sources by the start of the day. A question in plain text, such as how many qualified leads came from the ads in May, gets an answer from the CRM without exports
The same approach works outside sales. We keep our own books in wote.finance, which shows the margin per client before the month closes, and we build automations for a specific client process: meeting protocols with tasks, summaries from several sources, routing of leads between branches
How we roll it out
Automation usually fails to stick for one reason: it is switched on everywhere at once and nobody measures the result. A month later the team is back to old habits. So we go in steps
- Process audit A meeting with the owner and the head of the department, read access to the CRM, telephony and messengers. We look at how the process really works: where the lead waits, where data is copied by hand
- Map of manual operations Each repeated operation: who does it, how often, how long it takes, what breaks on an error. Next to it, what goes to AI, what to simple automation and what stays with a person. We pick one process for the pilot, where losses are visible and the result is easy to measure
- Pilot on one process, 2-4 weeks For example, AI replies to night leads in the messengers, or deal control in the CRM. Every week we look together at where AI made mistakes and correct the scenario
- Before and after Metrics are fixed before the start: time to first reply, share of leads with no contact, share of deals with no next step, hours spent on reports. After the pilot we compare on your data. If there is no difference, we say so and do not scale
- Scale A working scenario moves to other teams and branches, then we take the next process from the map and update the rulebook so the automation becomes part of daily work
We have no published English case study on AI automation yet, so this page shows no results figures. On a call we show wote.sales on a live demo and scope a pilot on your CRM
Where AI is not needed and we do not put it
- The process happens once a month: doing it by hand is cheaper than maintaining automation
- The CRM is empty or filled once a week: first order in the funnel and fields, then AI, otherwise it draws conclusions from nothing
- There is no rulebook: AI will not invent how your sales team should work, it checks the rules you approved
- The final meeting, negotiation and talks with the decision maker need a person; AI prepares and summarises
- Hiring, firing and pay: AI gives facts about a manager's work, the head of sales decides
- A few leads a week: the owner or one manager will cope, automation would take long to pay back
If the audit shows the problem is people, product or price rather than manual work, we say so. Sometimes the right first step is hiring a head of sales or rewriting the scripts
Data and access
In sales AI works with the most sensitive data: client phone numbers, call recordings, deal amounts. We agree the rules before connecting anything and fix them in writing
Minimum access
Quality control in wote.sales works with read-only access: it never writes to clients and never moves the funnel. Write rights are given separately and only where automation has to create something, such as tasks
Data stays in your systems
The CRM, telephony and messengers remain the source. We agree in advance what is stored where, who has access and how long transcripts and protocols are kept
Nothing extra
Only what a task needs is sent for processing. Client personal data is not passed to services that do not need it and is not used in other projects
Access you control
You get the list of every access and service in the setup. Access is revoked in one action; at the end of the work we switch off all integrations and hand the settings over to you
How much AI sales automation costs
| What | Cost | Terms |
|---|---|---|
| Our work: audit, pilot, rollout | From $750 a month | The exact fee is fixed after the audit and depends on the number of processes, integrations and work with the sales team |
| wote.sales, sales quality control | Plans from $99 a month (sales.wote.group) | Call and chat scoring on every plan, free setup, 14-day trial |
| wote.finance, project finance | $189 a month | For the whole company up to 30 people, 14 days of full access |
If we already run your ads, sales automation is easiest to plan together with them: deal data is needed by both the ads and the sales team
