An advertising inquiry is the start of the patient journey. A clinic still has to respond, book, confirm and receive the person. A low inquiry cost can hide a weak conversion to attended appointments.
This is a guide to the commercial and administrative funnel, based on our clinic cases. It does not describe medical treatment or promise the same conversion for another clinic.
Keep bookings and visits separate
Published inquiry-to-booking conversion ranges from 33% in the Dubai orthodontics case to 51% in the St Petersburg children’s dental case. These are different projects, not a controlled comparison of administrators.
Dubai orthodontics recorded 1,180 inquiries and 387 bookings. St Petersburg children’s dentistry recorded 1,520 inquiries with a 51% booking rate. Multiplying the latter inputs gives about 775 bookings; that is a calculation, not a separately reported total. Neither booking count by itself establishes attendance or treatment revenue.
Eight places to check
- First response. Assign an owner and a working-hours response target. Measure the first actual attempt, not the time a card was created.
- Missed calls. Staff the phone and callback queue for observed peaks. Give missed inquiries a follow-up task.
- Messenger booking. Let the patient agree a time through a supported channel instead of requiring an unexpected phone call.
- Confirmation. Send the date, time, address and first-visit price in writing. Offer confirmation or rescheduling.
- No-show reporting. Keep a separate no-show stage. Compare attended appointments with bookings for each source.
- Recovery. Contact a person who missed the visit, establish the reason and offer a suitable new time.
- Call quality. Review whether the administrator explained the next step and answered the practical questions. Score against an agreed checklist.
- Connected systems. Join the acquisition source in the CRM to booking and attendance in the clinic’s scheduling system.
Review the complete weekly funnel
Put inquiries, response time, bookings, attended visits and paid treatment on one report. Keep the conversion denominators explicit. An administrator can improve booking while no-shows rise; a campaign can bring fewer inquiries but more attended visits.
Language coverage also matters. The Dubai project assigned administrators to patient language groups. A translated advertisement needs a booking path the patient can actually use.
